Reporting directly to the Office Manager, this pivotal administrative role requires exceptional organisational skills, strong problem-solving abilities, and the capacity to manage competing priorities with confidence and efficiency. As the central point of coordination for a range of administrative tasks, you will play a crucial role in ensuring the smooth and effective operation of key processes within the firm.

Key Responsibilities:
Client Onboarding & Compliance
•Draft and issue ethical letters for both individuals and complex client groups.
•Add clients (individuals and businesses) to the ATO portal, ensuring accurate and complete information.
•Manage CAS debt and send signing reminders related to ASIC and Corporate Affairs compliance.
•Process ASIC changes, including director address updates and company details maintenance.
ATO & Financial Administration
• Review ATO correspondence, including Notices of Assessment (NOAs), payment plans, and debt notifications, to ensure timely and accurate responses.
• Establish and manage payment plans for clients, coordinating directly with the ATO as needed.
• Oversee the preparation of super fund financial reports, including tax return collation and audit preparation.
• Facilitate the setup of companies, trusts, and super funds, including applying for ABNs and TFNs.
• Maintain up-to-date knowledge of tax compliance and financial administration processes
Account Management
• Process client disbursements with accuracy and transparency.
• Manage trust accounts, ensuring compliance with financial regulations and internal policies.
• Maintain comprehensive investment filing and record-keeping systems to support financial reporting and audits.
Workflow & Archiving
• UtiliSe ATO Smartdocs workflow software to streamline documentation processing and improve efficiency.
• Archive documents systematically and maintain records in accordance with regulatory and organisational standards.
• Develop and maintain procedures to optimize workflow and record management.

Skills & Experience:
• Proficient with Microsoft Word, Excel, and Outlook.
• Strong attention to detail & ability to manage multiple priorities
• Experience in an accounting, financial, or professional services environment (preferred but not essential)
• Excellent communication skills & client-focused mindset
• Ability to work collaboratively within a team and independently
• Proficiency in accounting software & ATO portals (advantageous)
